Used car inventory software for a Pakistani showroom

Inventory software for a used-car showroom has one job a warehouse system never has: every unit is different, has its own cost, its own papers and sometimes its own investor. Odometric keeps stock as one record per car, keyed by the registration number, so a car's cost, documents, days on the floor and sale status are read in one place.

Odometric is used car inventory software built for independent showrooms in Pakistan. Each vehicle is a single record under its registration number, carrying make, model, year, mileage, chassis and engine numbers, photos, every cost booked against it, its documents and its status. Stock is never a quantity, because no two cars are interchangeable.

Why stock here is one record per car

General inventory software counts units of an item: forty of this part, twelve of that. A showroom floor holds thirty different cars, each bought at a different price, repaired differently, funded by different people and sold on different terms. Counting them tells you nothing.

So the record is the car. Everyone on the floor asks about it by plate: the white Corolla, LEA-12-3456. The software indexes by the same thing, which is why it is found in seconds and not in a sheet's search box.

What each car's record holds

On the recordWhat it answers
Registration number, make, model, variant, year, mileage, fuel, colourWhich car this is, in the words the floor uses.
Chassis and engine numbersThe identifiers a buyer or an office checks against the papers.
Purchase price and every expenseWhat the car has cost so far. See the costs that vanish from a car's file.
Documents and where the file isWhether the papers are in the vault, out with an agent or held against a balance. See what to keep on file.
Investor capital in the carWhose money is in it. See investor profit sharing.
Status: available, reserved, workshop, in transit, soldWhat can be shown to a buyer today.

Adding a car is quick because the scanner reads the car's smart card, so the chassis and engine numbers are not typed by hand. The walkthrough is on how Odometric works, in video.

Days on the floor and ageing stock

The number that decides a used-car showroom's month is how long cars stand. Every day a car stays carries cost, and the money tied up in it is not available for the next purchase. Odometric shows days on the floor on each car and raises an alert for stock that has stood past ninety days, with the oldest listed first so the decision is made on the car that has waited longest.

What to do with an aged car is a pricing decision, covered in when a car will not sell, and the daily cost of waiting is worked out in what a car costs you for every day it stands.

Showing stock to other showrooms

Showrooms in Pakistan trade with each other constantly, usually by ringing round. Odometric has an optional shared board: a showroom can publish individual available cars, and other showrooms can browse them and contact the owner by WhatsApp. Nothing is listed unless the showroom chooses to list it, and the board carries no price, cost or profit, because price is the subject of the phone call. Sold, reserved, workshop and in-transit cars drop off the board by themselves.

When a stock sheet is enough

With ten to fifteen cars and one person running everything, a spreadsheet is a fair answer, and a free template is available on the free car showroom Excel template. The case for and against is in showroom software against Excel. The point to move is when costs and investor shares start living in different files from the stock list.

Common questions

What is the best way to manage used car inventory in Pakistan?

Keep one record per car under its registration number, with the purchase cost, every expense, the documents and the status on that record. Counting stock by quantity does not work for used cars, because each unit has its own cost, papers and funding.

Does Odometric track chassis and engine numbers?

Yes. Chassis and engine numbers are stored on each car's record. The registration number is the main key, because it is how the showroom floor refers to a car.

Can it show how long each car has been in stock?

Yes. Each car shows its days on the floor, and stock past ninety days raises an alert with the oldest cars first.

Can I list my cars for other showrooms to see?

Yes, car by car and only when you choose to. The shared board shows the car to other showrooms with a WhatsApp contact button, and never shows price, cost, profit or investor details.

Put your own stock list in

Bring ten cars from your floor. We enter them and you see the record each one gets. It takes about twenty minutes.
